Job Context
As an Office / Administrative Assistant, you will play a key role in ensuring the smooth operation of front-office activities while providing efficient administrative support to various departments. The role focuses on facilitating communication, supporting employees, and maintaining organized daily office operations.
Key Responsibilities and Duties
- Act as the first point of contact for visitors, clients, and vendors, providing a warm and professional welcome
- Manage the reception area, including answering and directing incoming calls and handling inquiries
- Take accurate messages and ensure timely communication with relevant departments
- Process employee requests and provide necessary information and support
- Coordinate and schedule meetings, appointments, and office activities
- Provide administrative support to managers and departments, including data entry, filing, and document preparation
- Coordinate with vendors and service providers for office supplies, maintenance, and related services
- Prepare purchase requests, follow up on quotations, and manage order processing
- Support invoice tracking and coordinate with the finance team for payments and documentation
- Monitor office supplies, equipment, and general housekeeping to ensure smooth operations
- Coordinate with building management for maintenance, renewals, and facility-related issues
- Address employee complaints related to office facilities and services
- Coordinate daily schedules with drivers and office assistants
- Handle incoming and outgoing mail, packages, and deliveries efficiently
Candidate Profile and Skills
- Bachelor’s degree in Business Administration or an equivalent qualification
- 3 to 5 years of relevant experience in a similar administrative or office support role
- Previous experience in a corporate environment is preferred
- Strong knowledge of Microsoft Office applications
- Excellent communication and interpersonal skills
- Strong organizational abilities with attention to detail and accuracy
- Ability to maintain confidentiality and handle sensitive information responsibly
- Flexibility to adapt to changing priorities in a fast-paced work environment
