Role Overview
The Admin Assistant will provide essential administrative and coordination support to store opening and fit-out initiatives. The role focuses on monitoring current projects, tracking upcoming developments, and ensuring that all project-related documentation and follow-ups are handled efficiently.
In addition to project coordination, the position will also support the wider admin team, which is actively involved in operational and non-trade procurement activities. This role offers valuable exposure to retail expansion projects, contractor coordination, and technical documentation, making it an excellent learning opportunity for early-career professionals.
Key Responsibilities
Project Coordination & Support
- Assist in the coordination of new store opening and fit-out projects, ensuring tasks progress according to schedule
- Support basic project estimation activities, including Bills of Quantities (BOQs) and preliminary technical evaluations
- Track project timelines, milestones, and deliverables to support timely closures
Documentation & Reporting
- Maintain accurate project documentation, trackers, and status reports
- Update records related to approvals, quotations, contracts, and variations
- Ensure proper filing and easy retrieval of project-related documents
Vendor & Internal Coordination
- Coordinate with vendors, contractors, consultants, and internal departments for smooth information flow
- Follow up on pending actions, submissions, and approvals
- Support communication between project stakeholders to avoid delays
Administrative & Procurement Support
- Assist with non-trade procurement documentation and administrative processes
- Support purchase requests, quotations, and basic cost comparisons
- Provide general administrative assistance to the projects and operations team
